Privacy Policy

How information is handled specifically for COMLUK Profile, including the distinction between public Profile content and private onboarding, verification, billing, support and administrative information.

This policy supplements the COMLUK Solutions Privacy Policy. It explains the additional information-handling practices that arise because COMLUK Profile is a public-facing hosted professional identity service.

Information approved for the Profile is intentionally public. Identity documents, management authorizations, credentials, support records and other administrative information remain non-public by default.

Public Profile content and private administrative information are treated as two different classes of information.

This COMLUK Profile Privacy Policy supplements the COMLUK Solutions Privacy Policy and applies specifically to COMLUK Profile and related Profile services.

COMLUK Profile is designed to publish information selected or approved for public display while also requiring private information for onboarding, verification, billing, support, security and service administration.

The COMLUK Solutions Privacy Policy remains the company-wide privacy framework.

About This Policy

This COMLUK Profile Privacy Policy supplements the COMLUK Solutions Privacy Policy and explains the additional information-handling practices associated specifically with COMLUK Profile and related Profile services.

COMLUK Profile is a hosted professional identity service. Each Profile is designed to present information selected or approved for public display through a Profile URL, dynamic QR code, and supported COMLUK services.

This product-specific policy distinguishes between information intentionally selected for public display and information handled privately for onboarding, account administration, verification, billing, support, security, and service delivery. The COMLUK Solutions Privacy Policy remains the company-wide privacy framework.

Information We Collect

COMLUK collects only the information reasonably necessary to provide, manage, and support its services.

Information may be collected through:

  • Onboarding or intake forms
  • Quotations and invoices
  • Email or messaging communication
  • Profile-update requests
  • Payment confirmations
  • Verification processes
  • Support requests
  • Website or profile interactions
  • Other information voluntarily provided by the client

The information collected may include:

  • Name
  • Professional title or role
  • Business or organization name
  • Telephone number
  • Email address
  • Website and social-media links
  • Biography or professional summary
  • Products and services
  • Photographs, logos, and other media
  • Delivery or billing information
  • Profile preferences
  • Payment status and transaction references
  • Support and communication records
  • COMLUK Account ID, verification, or other account information
  • Other details required to create or maintain the service

Public Profile Content

COMLUK Profiles are public by design.

Information approved for inclusion on a profile may be accessible to anyone who has the profile link, scans the assigned QR code, or accesses the profile through a supported COMLUK service.

Public profile information may include:

  • Name
  • Photograph
  • Professional title
  • Business information
  • Telephone number
  • Email address
  • Website
  • Social-media links
  • Biography
  • Products and services
  • Portfolio or gallery content
  • Booking, payment, or storefront links
  • Other information selected by the client

Clients are responsible for deciding what information they want displayed publicly.

Clients should not submit confidential, private, or sensitive information for public display unless they understand and accept that it may be viewed by others.

Private Onboarding and Account Information

Some information is collected for administrative purposes and is not intended for public display.

This may include:

  • Billing details
  • Delivery information
  • Internal correspondence
  • Unpublished drafts
  • Approval records
  • Identity documents and verification materials
  • Signed management authorization forms or other written proof of authority
  • Account credentials, PINs, or access keys
  • Support requests
  • Transaction references
  • Other internal service records

Before a COMLUK Profile is published or distributed, COMLUK may require written identity documentation reasonably sufficient to confirm the individual, business, or organization represented by the Profile.

Where someone other than the represented party will establish, fund, administer, maintain, or otherwise manage the Profile, COMLUK requires that arrangement to be disclosed in writing and may require signed authorization or other documentation confirming the manager's authority.

Identity and management-authorization records are administrative verification information. They are not public Profile content and are used for verification, account administration, fraud prevention, security, dispute handling, and related service purposes.

Private onboarding and administrative information is treated as non-public by default. COMLUK will not intentionally publish it unless:

  • The client specifically approves the information for public display; or
  • The information is reasonably necessary to provide a public-facing feature requested by the client.

Where disclosure of private information is required by law, COMLUK may provide it to the appropriate authority or recipient without treating it as public Profile content.

Clients do not need to label ordinary onboarding, verification, support, or administrative information as private. Only information selected or approved for Profile display should be treated as public content.

How Information Is Used

COMLUK may use collected information to:

  • Create and configure a COMLUK Profile
  • Host and maintain the profile
  • Connect and manage the assigned QR code
  • Publish approved professional information
  • Verify identity, authorization, or Profile information
  • Prevent impersonation or unauthorized Profile management
  • Process profile updates
  • Prepare email signatures, business cards, and related materials
  • Produce approved physical or digital products
  • Confirm and record payments
  • Communicate with the client
  • Provide support
  • Manage recurring hosting arrangements
  • Prevent fraud, impersonation, abuse, or unauthorized access
  • Maintain service and business records
  • Improve service reliability and functionality
  • Comply with legal or regulatory obligations

COMLUK does not use private client information for unrelated purposes without an appropriate reason or permission.

Payment Information

Payment arrangements may vary depending on the Profile service, quotation, and payment method offered.

Where an independent payment provider processes a transaction, that provider may handle applicable payment or banking information under its own privacy and security practices.

COMLUK may receive or retain limited transaction information reasonably necessary to identify, confirm, reconcile, or administer a payment, such as:

  • Client or payer name
  • Transaction reference
  • Payment status
  • Payment amount
  • Date of payment
  • Contact or billing information associated with the transaction

Independent payment providers process information according to their own privacy policies and terms. The applicable payment process will be explained when payment arrangements are offered.

Hosting and Service Providers

COMLUK hosts and manages COMLUK Profiles.

To provide the service, COMLUK may use third-party providers for functions such as:

  • Website hosting
  • Cloud storage
  • Form submissions
  • Email delivery
  • Payment processing
  • Backups
  • Security
  • Analytics
  • File delivery
  • Technical infrastructure

These providers may process limited information on behalf of COMLUK where necessary to perform their services.

COMLUK seeks to use service providers that apply reasonable privacy and security measures, but their independent systems and practices may also be governed by their own policies.

Data Sharing

COMLUK does not sell, rent, or trade personal information.

Information may be shared only where reasonably necessary to:

  • Deliver the requested service
  • Process payments
  • Host or maintain the profile
  • Produce or deliver physical products
  • Provide technical support
  • Prevent fraud or misuse
  • Protect COMLUK, its clients, or the public
  • Comply with legal obligations
  • Respond to lawful requests from authorities
  • Enforce service agreements or policies

Only the information reasonably required for the relevant purpose should be shared.

Profile Visitors and Technical Information

When someone visits the COMLUK website or a hosted profile, technical information may be processed automatically by the hosting platform or related service providers.

This may include:

  • IP address
  • Browser type
  • Device type
  • Date and time of access
  • Requested page
  • Error or security logs
  • General usage or performance information

This information may be used to:

  • Deliver the profile
  • Maintain security
  • Diagnose technical problems
  • Prevent misuse
  • Improve service performance
  • Understand general service usage

COMLUK does not use this information to identify profile visitors unless it is reasonably necessary for security, fraud prevention, legal compliance, or another legitimate operational purpose.

Third-Party Links and Services

COMLUK Profiles may include links to third-party services such as:

  • Social-media platforms
  • Websites
  • Booking systems
  • Payment portals
  • Messaging applications
  • Maps
  • Online stores
  • Document-hosting services

Once a visitor leaves the COMLUK Profile and enters a third-party service, that provider's privacy policy and data practices apply.

COMLUK does not control and is not responsible for the privacy, security, availability, or data-handling practices of external platforms.

Clients are responsible for ensuring that links placed on their profiles are accurate, lawful, and appropriate.

Data Retention

COMLUK retains information only for as long as reasonably necessary for the purpose for which it was collected.

During an active hosting relationship, COMLUK may retain:

  • Profile content
  • COMLUK Account ID, Profile Reference, and QR-routing information
  • Client contact details
  • Billing and payment records
  • Approval history
  • Support communications
  • Account status
  • Identity, verification, and management-authorization records
  • Operational backups

After cancellation, suspension, or termination, COMLUK may retain limited information where reasonably necessary for:

  • Accounting
  • Legal compliance
  • Fraud prevention
  • Dispute resolution
  • Service reactivation
  • Security
  • Internal record-keeping

COMLUK may remove or anonymize information when it is no longer reasonably required.

Clients should retain their own copies of photographs, logos, written content, and other original materials submitted to COMLUK.

Security

COMLUK uses reasonable administrative and technical measures to protect information within its control.

These measures may include:

  • Restricted access
  • Account controls
  • Secure storage
  • Access credentials
  • Backups
  • Monitoring
  • Reasonable technical safeguards

No online service or storage system can be guaranteed to be completely secure.

Clients are responsible for protecting any credentials, PINs, or access keys provided to them and should notify COMLUK promptly if they suspect unauthorized access or misuse.

Client Choices and Rights

Clients may contact COMLUK to:

  • Request access to information held about them
  • Correct inaccurate information
  • Update public profile content
  • Request removal of specific public content
  • Ask how their information is used
  • Request cancellation of hosting
  • Raise a privacy concern or complaint
  • Request deletion where applicable
  • Request restriction of certain processing where applicable

Some information may need to be retained where required for legal, accounting, security, contractual, or operational reasons.

Requests may require identity or account verification before action is taken. A request to add, replace, or remove an authorized Profile manager may also require written notice, signed authorization, and renewed verification.

Profile Suspension and Privacy

Where a profile is suspended, the public page may become unavailable.

COMLUK may continue to retain relevant account, billing, security, and service records during suspension.

Suspension does not automatically result in immediate deletion of the profile or related information.

Retention and reactivation may be handled according to the applicable service agreement, quotation, or companion policy.

Services Intended for Adults

COMLUK Profile is intended for adults, professionals, businesses, and organizations.

COMLUK does not knowingly establish COMLUK Profile services or customer accounts directly for children.

Where another COMLUK product may be used or enjoyed by a child, any purchase, download, account setup, or service arrangement is expected to be completed and managed by an appropriate adult. COMLUK Profile itself is not offered as a child-directed identity service.

Changes to This Policy

COMLUK may update this Privacy Policy as the service, technology, legal requirements, or business practices change.

The current version will be published with its effective date.

Where material changes significantly affect active clients, COMLUK may provide additional notice through available contact channels.

Continued use of the service after an updated policy becomes effective may be subject to the updated terms, except where separate consent is required.

Contact Information

Questions, correction requests, deletion requests where applicable, privacy concerns, or complaints may be submitted through the COMLUK Solutions Contact page.

When contacting COMLUK about a Profile, clients should provide their COMLUK Account ID and, where available, the relevant Profile Reference so COMLUK can identify the correct account and service efficiently. Do not send passwords, PINs, payment-card information, or security codes in an ordinary privacy enquiry.

Return to COMLUK Profile

A public Profile should contain only information intended to be public. Verification, authorization, account administration and support records remain private unless a lawful or specifically approved reason requires otherwise.
